Job Type:
Part-time (20 hours per week) with potential of becoming full-time.
About the Role:
As an Agency Coordinator at ICS Creative Agency, you'll be the heart of our office operations, ensuring smooth daily functioning and fostering a welcoming environment for everyone who interacts with us.
Key Responsibilities:
Your responsibilities will include, but aren’t limited to:
- Welcoming and interacting with clients, customers, vendors, consultants, suppliers, guests, and visitors.
- Maintaining a well-kept office environment, including coffee preparation, dish cleaning, and managing the inventory of office snacks and supplies.
- Answering phones and relaying messages to staff.
- Managing the office calendar and internal scheduling.
- Setting up rooms for in-person meetings (coffee, water, cups, etc.).
- Coordinating invoice payments and tracking sales.
- Contacting new clients for payments and following up on overdue accounts.
- Paying bills and invoices for the office.
- Managing weekly bank deposits.
- Assisting with projects when needed.
- Helping coordinate ICS social media posts, including daily client engagement.
- Supporting any sales-related tasks.
- Tracking team sick hours and vacation days.
- Comfortable using SaaS tools or willing to learn.
- Comfortable working in an open office and unique work environment.
Qualifications:
- Excellent computer skills and proficiency in Google Suite.
- Strong organizational and time management skills, with the ability to multitask effectively.
- Exceptional interpersonal skills and a positive attitude.
- Strong verbal and written communication skills, including spelling, punctuation, and grammar.
- Excellent proofreading, Word editing, and formatting skills to ensure process quality assurance.
- Proficient typing and transcription skills.
- Detail-oriented with a high level of motivation and dependability.
- Fast learner, open to feedback.
- High level of business maturity in a fast-paced, high-output environment.
- Team player with strong collaboration skills.
Additional Skills (Not Required, but considered an asset):
- Experience with Quickbooks Online & Plooto
- Familiarity with HubSpot, ClickUp, and Slack.
